Carbon Reduction Plan

Reporting period: Initial plan before completion of Ecoaera’s first emissions baseline

1. Our commitment

Ecoaera Limited is committed to achieving Net Zero greenhouse gas emissions from its UK operations by 2040. We recognise that making credible environmental commitments requires accurate measurement, transparent reporting and meaningful action.

Ecoaera is a new business and has not yet completed a full greenhouse gas emissions assessment.

This initial Carbon Reduction Plan therefore sets out:
• Our Net Zero commitment
• The emissions information we intend to collect
• The actions we will take to reduce emissions
• How we will develop and report our first emissions baseline
• How progress will be monitored and reviewed

We will update this plan when sufficient operational data is available to calculate our first complete emissions footprint.

2. About Ecoaera

Ecoaera Limited provides secure IT equipment recycling, IT asset disposal and data destruction services to organisations in England.

Our services are intended to support responsible management of unwanted IT equipment through:
• Secure collection
• Asset recording and auditing
• Verified data erasure or physical data destruction
• Reuse and redeployment where suitable
• Responsible recycling where reuse is not possible
• Clear customer reporting and certification

Our activities support the waste hierarchy by prioritising prevention, reuse and recovery before recycling and final disposal. However, we recognise that providing an environmentally beneficial service does not remove the greenhouse gas emissions created by our own operations, vehicles, energy use, purchased services and supply chain.

Our objective is therefore to reduce both our direct emissions and the emissions associated with delivering our services.

3. Net Zero target

Ecoaera Limited commits to achieving Net Zero greenhouse gas emissions from its UK operations by 2040.

For the purposes of this plan, Net Zero means reducing greenhouse gas emissions as far as reasonably and technically possible before addressing any remaining emissions through credible and appropriately verified measures. We will prioritise actual emissions reductions over carbon offsetting. We will not describe Ecoaera, its services or individual collections as carbon neutral or Net Zero unless the claim is supported by appropriate evidence and a clearly defined calculation.

4. Baseline emissions footprint

Current position - Ecoaera has not yet established a complete baseline emissions footprint.

The company began operating recently and does not currently hold a complete reporting year of reliable information covering all relevant emissions sources. Entering estimated figures without an adequate evidence base could create a misleading impression of our environmental performance. We have therefore chosen to report transparently that baseline figures are not yet available.

Emissions category - Baseline emissions
Scope 1 - Not yet measured
Scope 2 - Not yet measured
Scope 3 - Not yet measured

Total emissions - Not yet measured

First baseline reporting period - Ecoaera intends to use its first complete and representative financial or calendar year of operations as its baseline reporting period. The selected period will be stated clearly when the first emissions report is published.

The baseline will be calculated using:
• Actual business records wherever available
• The Greenhouse Gas Protocol reporting principles
• The relevant UK Government greenhouse gas conversion factors
• Clearly recorded assumptions where exact data is unavailable
• Consistent organisational and operational boundaries

We aim to publish our first measured baseline within 18 months of publishing this initial plan, subject to sufficient reliable operational information becoming available.

5. Emissions that will be measured

Ecoaera intends to measure the following emissions categories.

Scope 1 emissions - Scope 1 covers direct greenhouse gas emissions from sources owned or controlled by Ecoaera.

These may include:
• Fuel used by company owned or controlled vehicles
• Fuel used in equipment, heating or generators
• Refrigerant losses from equipment owned or controlled by the company

Where Ecoaera does not own or control a relevant emissions source, this will be stated in the reporting methodology.

Scope 2 emissions - Scope 2 covers indirect emissions associated with purchased energy.

These may include:
• Electricity used at Ecoaera premises
• Electricity used to charge company vehicles or equipment
• Purchased heating or cooling, where applicable

Where Ecoaera occupies shared premises, we will seek to obtain actual submetered information or a reasonable documented allocation of the total energy used.

Scope 3 emissions - Scope 3 covers indirect emissions arising from activities within Ecoaera’s value chain.

The initial Scope 3 assessment is expected to consider:
• Purchased goods and services
• Capital equipment
• Fuel and energy related activities not included within Scope 1 or Scope 2
• Upstream transportation and distribution
• Waste generated through Ecoaera’s operations
• Business travel
• Employee commuting
• Working from home
• Downstream transportation and distribution
• Processing of equipment by downstream reuse and recycling partners
• Treatment of materials at the end of their usable life

The relevance and materiality of each category will be reviewed before inclusion in the final baseline.

6. Information we will collect

To establish the first baseline, Ecoaera will begin collecting and maintaining records covering:
• Electricity consumption
• Gas or other heating fuel consumption
• Vehicle fuel purchases
• Vehicle mileage
• Vehicle type and fuel type
• Courier and subcontracted transport activity
• Employee and director business travel
• Employee commuting where relevant
• Home working where relevant
• Purchased goods and equipment
• Waste generated through our own operations
• Quantities of equipment transported
• Quantities sent for reuse, recycling or other treatment
• Downstream processor and logistics information
• Refrigerant use or losses, where applicable

Where exact information is not available, we will record the estimation method and seek to improve data quality in future reporting years.

7. Carbon reduction targets

Until the baseline has been calculated, Ecoaera cannot responsibly publish percentage reduction targets against a measured starting point. We have therefore adopted the following initial milestones.

By the end of 2026 we aim to:
• Establish a formal system for recording energy, fuel, mileage and transport activity
• Define our operational and reporting boundaries
• Identify our most significant likely emissions sources
• Request relevant emissions information from key suppliers and downstream partners
• Record waste, reuse and recycling outcomes consistently
• Introduce environmental considerations into purchasing decisions

By the end of 2027 we aim to:
• Complete and publish our first greenhouse gas emissions baseline
• Report Scope 1 and Scope 2 emissions
• Report the material Scope 3 categories for which reliable information is available
• Establish measurable reduction targets against the baseline
• Identify the operational activities responsible for the largest share of emissions
• Publish an updated Carbon Reduction Plan

By 2030 subject to completion of the baseline, we intend to establish a meaningful interim reduction target for 2030.

The percentage reduction will be determined after the baseline assessment so that it is:
• Measurable
• Achievable
• Evidence based
• Relevant to Ecoaera’s actual emissions profile
• Consistent with the 2040 Net Zero commitment

By 2040, Ecoaera aims to achieve Net Zero greenhouse gas emissions from its UK operations. This will require continued reductions across direct operations, transport, energy use, purchasing and relevant supply chain activities.

8. Carbon reduction measures

Ecoaera intends to introduce and develop the following measures.

Transport and collections - Transport is expected to be one of Ecoaera’s most significant emissions sources.

We will seek to reduce transport emissions by:
• Planning efficient collection routes
• Grouping collections geographically where practical
• Avoiding unnecessary or partially loaded journeys
• Recording mileage and fuel consumption
• Selecting appropriately sized vehicles
• Using reputable logistics partners
• Reviewing lower emissions vehicle options as the business grows
• Considering electric or alternative fuel vehicles where operationally practical
• Avoiding unnecessary repeat visits through accurate collection planning

Collection security, customer requirements and safe handling will not be compromised solely to reduce mileage.

Energy use - We will seek to reduce energy consumption by:
• Switching off lighting and equipment when not required
• Using energy efficient equipment
• Avoiding unnecessary heating and cooling
• Monitoring electricity consumption where information is available
• Considering renewable electricity tariffs
• Selecting efficient replacement equipment
• Reducing unnecessary server, computer and equipment runtime

Where Ecoaera occupies shared premises, we will work with the premises operator to understand and improve energy performance where reasonably possible.

Equipment reuse - Extending the usable life of IT equipment can reduce demand for newly manufactured equipment and the resources associated with production.

Ecoaera will:
• Assess equipment for reuse before recycling
• Prioritise secure data erasure where equipment can be safely reused
• Promote redeployment and responsible remarketing
• Separate reusable equipment from material intended for recycling
• Work with appropriate reuse and resale partners
• Record reuse outcomes where reliable information is available

We will not treat estimated avoided emissions as a reduction in Ecoaera’s own operational footprint unless they are reported separately and calculated using an appropriate methodology.

Responsible recycling - Where reuse is not practical, Ecoaera will seek to ensure equipment is processed responsibly.

We will:
• Use appropriately authorised downstream partners
• Maintain appropriate waste documentation
• Follow the waste hierarchy
• Separate equipment and materials where practical
• Seek information about downstream treatment routes
• Avoid disposal to landfill where reasonable alternatives are available
• Record recycling and recovery outcomes

We will not make absolute claims such as zero waste or zero landfill unless they can be evidenced across the full downstream process.

Purchasing - We will consider environmental performance when purchasing goods and services.

This may include:
• Purchasing durable and repairable equipment
• Selecting refurbished equipment where suitable
• Avoiding unnecessary purchases
• Reducing excessive packaging
• Consolidating orders
• Considering supplier location and transport impacts
• Selecting suppliers with credible environmental practices
• Considering whole life impact rather than purchase price alone

Digital working - We will use digital systems where this reduces unnecessary paper, travel and administration.

Measures may include:
• Electronic quotations and invoices
• Electronic waste documentation where legally acceptable
• Digital reports and data destruction certificates
• Customer portal access
• Remote meetings where appropriate
• Secure electronic record keeping

Digital services still use energy, so we will avoid describing digital processes as having no environmental impact.

Supply chain engagement - A significant portion of Ecoaera’s future emissions may arise from suppliers, transport providers and downstream processors.

We will seek to:
• Identify key supply chain emissions sources
• Request environmental and emissions information from significant suppliers
• Consider carbon performance during supplier reviews
• Encourage suppliers to measure and reduce their emissions
• Select local or efficient suppliers where appropriate
• Improve visibility of downstream transport and processing

Supplier selection will also consider security, legal compliance, service quality and operational capability.

9. Circular economy contribution

Ecoaera’s core services are designed around the principles of secure reuse and responsible recycling.

Our preferred hierarchy is:
  1. Avoid unnecessary disposal
  2. Redeploy equipment within the customer’s organisation
  3. Securely erase and reuse suitable equipment
  4. Recover usable parts
  5. Recycle remaining materials
  6. Use disposal only where no reasonable alternative exists

We will aim to provide customers with clear information about what happened to their equipment.

Where appropriate, this may include:
• Equipment reused
• Equipment recycled
• Data bearing assets erased
• Data bearing assets destroyed
• Weights or quantities processed
• Downstream treatment information

We will distinguish between Ecoaera’s own emissions reductions and the wider environmental benefits associated with reuse and recycling.

10. Carbon offsetting

Ecoaera’s priority is to prevent and reduce emissions.

We do not currently use carbon offsets to claim that our operations are carbon neutral or Net Zero. If carbon offsetting is considered in the future, it will only be used for residual emissions that cannot reasonably be eliminated at that time.

Any offsetting arrangement will be assessed for:
• Independent verification
• Transparency
• Additionality
• Permanence
• Avoidance of double counting
• Suitable monitoring
• Appropriate certification

The use of offsets will be reported separately from actual operational emissions reductions.

11. Reporting and review

This plan will be reviewed at least annually.

The review will consider:
• Progress in collecting emissions information
• Changes in Ecoaera’s operations
• Changes in premises, vehicles or staffing
• New services and suppliers
• Progress against reduction measures
• Changes to reporting standards or Government guidance
• Opportunities to improve data accuracy

Once baseline emissions have been established, future versions will include:
• The baseline reporting period
• Scope 1 emissions
• Scope 2 emissions
• Relevant Scope 3 emissions
• Total emissions in tonnes of carbon dioxide equivalent
• Progress against the previous reporting year
• Revised reduction targets
• Carbon reduction measures completed
• Planned measures for the next reporting period

Updated versions will be published on the Ecoaera website.

12. Standards and methodology

Ecoaera intends to develop its emissions reporting with reference to:
• The Greenhouse Gas Protocol Corporate Standard
• The Greenhouse Gas Protocol Scope 3 Standard
• UK Government greenhouse gas conversion factors
• Relevant UK Government Carbon Reduction Plan guidance
• Recognised principles of relevance, completeness, consistency, transparency and accuracy

This initial plan is informed by those frameworks but should not yet be treated as a fully compliant Government procurement Carbon Reduction Plan because Ecoaera has not completed its baseline emissions inventory. If Ecoaera needs to submit a Carbon Reduction Plan for a public procurement exercise, we will review the applicable procurement requirements and complete the required reporting before stating compliance.

13. Responsibilities

Responsibility for this Carbon Reduction Plan rests with the Director of Ecoaera Limited.

The Director is responsible for:
• Overseeing emissions data collection
• Reviewing environmental performance
• Approving carbon reduction targets
• Considering environmental performance in business decisions
• Reviewing and approving future versions of this plan

All employees, contractors and relevant suppliers will be encouraged to support the measures within this plan.

14. Declaration

Ecoaera Limited confirms its commitment to achieving Net Zero greenhouse gas emissions from its UK operations by 2040.

At the date of publication, Ecoaera has not completed a full baseline emissions assessment. The company has therefore not included estimated emissions figures or claimed full compliance with a particular procurement reporting standard. Ecoaera commits to measuring its emissions, publishing a baseline when sufficient reliable information is available and reporting progress transparently.
